Booking & Cancellation Policy - Covid Pandemic

Due to limited booking dates and space at Castaway Lodge, the following Company Policy is effective August 1st, 2007. Castaway Lodge can book only a limited number of parties on any one date, we operate on a scheduling structure based upon occupancy and availability of our Guides. Strict adherence to this policy is required to maintain appropriate Guide assignments and maximum occupancy at our facility. We appreciate your understanding and look forward to serving you soon!

Definitions:

Booking: contacting our office to schedule a trip, confirming a date and party size, making deposit arrangements by phone or e-mail.

Notice: contacting our office to advise us of an alteration to the original “booking”.

Company Policy, Bookings, Cancellations, Rescheduling, Refunds

Trip Booking:
Bookings are based on the group total in the party. Deposits are based on the total trip cost. 50% of total trip cost is required on booking. Booking within 30 days, party size and trip cost is fixed.

Cancellations & Notice:
30 days or more, party size may be adjusted, deposit may be applied to balance. Within 30 days, no cancellations are allowed, trip cost and balance are fixed.

Rescheduling & Notice: Dates and trip plans commonly occur more than a month in advance. Unfortunately, we cannot allow last minute re-scheduling (within 30 days) for any reason that leaves us unable to fill the vacated date.

Refunds: Notice, 30 days or more, fully refundable (under normal operational circumstances)* * Notice, 30 days or less, non-refundable (under normal operational circumstances) **

• In case of any event involving Natural Disaster; Terrorism/Act of War/Attack by any means, or Pandemic affecting our area of operations and established in The State of Texas by Disaster Declaration; or The United States (established by Emergency Declaration) that adversely affects our ability to execute trips or the clients ability to participate, deposits are non-refundable and may be expensed to cover operational damages to the company and staff. If possible, we will escrow deposits to be applied “as deposits” for up to 50% of trip costs on future trips as soon as conditions permit or within 90 days that any Disaster Declaration has ceased. Trip costs and pricing may change as a result of the change in timing, seasonality, and/or pricing conditions which will be determined by the company at time of re-booking.

** Due to the extreme coastal environment within which we operate, our Terms and conditions may be amended and changed at any time depending on business and operational conditions at the discretion of Castaway Retreat & Lodge, Inc. becoming retroactive and excluding all previous terms without notice.
